4 AI workflows that never hit send without you

A lot of people I talk to are curious about AI agents but a little nervous. What if it emails a customer something wrong? What if it messes up my books?

Fair worry. So here are four workflows built around one simple rule: the AI does the first draft, and a human makes the final call. Nothing goes out, gets booked, or gets filed without you looking at it.

1. Draft replies for your support inbox (Support)

The problem: Small teams spend hours writing the same kinds of replies over and over.

The workflow:

  1. Use n8n (self-hosted or cloud) with a Gmail trigger.
  2. Pull in the help docs that match the email, and send both to an AI model.
  3. Save the answer as a Gmail draft. Never auto-send.
  4. Keep track of how much you edit the drafts, and tweak the prompt over time.

Why it works: You still read and send every reply, but you start from 80% done instead of a blank page. Full recipe: Draft replies for the support inbox

2. Meeting notes and action items (Ops)

The problem: Action items from meetings get lost.

The workflow:

  1. Connect Otter.ai to your calendar.
  2. Let it join and transcribe your meetings.
  3. Share the summary and action items to Slack.
  4. Assign owners yourself.

Why it works: The AI handles the note-taking. People still decide who owns what, which is the part that actually gets things done. Full recipe: Meeting transcription and action items

3. Catch up on busy Slack channels (Ops)

The problem: Important updates get buried between meetings.

The workflow:

  1. Open Recap in the Slack sidebar (or under More).
  2. Pick the channels you want and turn Recaps on.
  3. Mute those channels if you like, so they stop pinging you all day.
  4. Read the recap each morning, and click into the real messages when you need detail.

Why it works: It's read-only. The AI summarizes; it doesn't post anything for you. Full recipe: Daily Slack channel recaps with Slack AI

4. Small-business bookkeeping helper (Finance)

The problem: Uncategorized transactions pile up until tax time.

The workflow:

  1. Connect your bank and Stripe to QuickBooks.
  2. Turn on QuickBooks' AI-assisted categorization.
  3. Review its suggestions once a week.
  4. Hand clean books to your accountant.

Why it works: Money is where mistakes hurt most, so the AI only suggests and you approve. Fifteen minutes a week beats a lost weekend in April. Full recipe: Small-business bookkeeping assistant

The simple rule behind all four

  • AI drafts, you decide. Drafts, suggestions and summaries, never automatic sends.
  • Start read-only. Summaries and tags are low-risk ways to build trust.
  • Measure your edits. If you're rewriting every draft, fix the prompt before adding more automation.

Tool prices and features change, so check each tool's official site before you start.

Where these come from

These are from Roar Workflows, a free how-to guide of AI agent workflows organized by job. Each one lists the problem, the tools, the steps, and a rough cost and difficulty. It's free and there's no signup.

What's a task you'd happily let AI draft, as long as you get the final say? Tell me in the comments. Good ones may get added to the guide (with credit).
