案例研究:工業用品分銷商如何透過 AI Agent 每年節省 1,200 小時

Case Study: How an Industrial Supplies Distributor Saved 1,200 Hours per Year with an AI Agent

1. Pain: 80,000 SKUs, yet quotations still run on manual labor

Nam, the director of an industrial supplies distributor in Binh Duong, manages more than 80,000 SKUs covering bolts, bearings, valves, and machine components. The problem is that product data is scattered across the ERP, Excel files, and PDF catalogues from dozens of suppliers.

The same bearing may have three names, two measurement units, and several equivalent part numbers. Some records are duplicated, while others lack dimensions, materials, or technical standards. Every quotation request forces sales staff to spend 20–30 minutes searching files, calling the warehouse, and checking catalogues. When an experienced employee takes leave, the process almost “loses power.”

The company had hired more data-entry staff and patched the problem with additional spreadsheets. This only increased technical debt while the data remained inconsistent and salespeople continued selecting incorrect components. This was not a staffing shortage; it was a data bottleneck.

2. Agitate: Every minute spent searching erodes the margin

At roughly 3,800 quotation requests per year, saving 19 minutes per request releases more than 1,200 labor hours. With a fully loaded sales and back-office cost of VND 120,000 per hour, the direct annual saving is approximately VND 144 million, excluding revenue lost through slow responses.

An incorrect part number also creates returns, replacement deliveries, extra shipping costs, and reputational damage. Salespeople find only what the customer requested but fail to see compatible accessories, leaving cross-selling opportunities idle in the warehouse. Hiring more people for a quick fix merely scales a broken process: vanity KPIs may look healthy while margins continue shrinking.

There is another risk in AI projects built mainly for presentation. A fluent chatbot that can freely edit the ERP or call uncontrolled APIs is half-baked optimization. It can become an expensive mistake when an agent enters a runaway loop, consumes quota, or synchronizes thousands of incorrect records.

3. Solve: Deploy a controlled AI Agent in three steps

  • Step 1 — Consolidate and define the data standard: Start with 3,000–5,000 fast-moving SKUs. Connect ERP records, spreadsheets, and supplier catalogues, then standardize product names, brands, manufacturer codes, technical attributes, units, and categories. There is no need to replace the ERP or clean all 80,000 SKUs at once.

Step 2 — Let AI recommend, not decide: The agent reads catalogues, identifies equivalent products, flags suspected duplicates, and suggests substitutes. Staff must approve material changes before anything is synchronized to the ERP or CRM. A minimum validation rule can be implemented as follows:

def review_sku(item):
    alerts = []
    if not item.get('manufacturer_code'):
        alerts.append('missing_manufacturer_code')
    if item.get('duplicate_score', 0) >= 0.92:
        alerts.append('possible_duplicate')
    if item.get('unit') not in ['mm', 'inch', 'piece', 'set']:
        alerts.append('invalid_unit')
    return {'status': 'human_review' if alerts else 'ready', 'alerts': alerts}
  • Step 3 — Lock down spending and execution rights: HimiTek places OpenClaw Gatekeeper between the reasoning layer and synchronization scripts. Routing uses 9router v0.4.66 with LiteLLM dual-instance failover, rate limiting, automatic API-key rotation, and budget caps for each virtual key. Shell commands and write operations are blocked by default and require a whitelist or explicit user approval. Separating the Reasoner from the Actuator reduces the risk of prompt injection taking control of the server.

After implementation, product search and quotation time fell from approximately 25 minutes to 6 minutes, incorrect part selection dropped by 70%, and catalogue cleanup was shortened from several months to a few weeks. Sales staff could also search in natural language and receive cross-selling suggestions based on products already in stock.

4. CTA: Prove the outcome before scaling

Do not begin with a large contract or another data-entry team. Select one SKU group and measure three indicators over 30 days: quotation time, incorrect-code rate, and cross-selling revenue. HimiTek can build a pilot with human approval gates and explicit spending limits, allowing the business to verify the actual hours and money saved before expanding across the full catalogue.
