AI 應讓企業營運更輕鬆

AI Should Make Your Business Easier to Run

AI should make your business easier to run. That deserves to be an explicit goal when you decide where to use it.

More output is useful when the business needs more output. But there is also value in having fewer loose ends to remember, less administrative work hanging over the evening, and more attention available for the work you wanted to do in the first place.

Using AI for admin work has made running my businesses more enjoyable. That matters to me. Enjoying the business you have built is a perfectly reasonable return on the effort you put into improving it.

As agents become more capable, owners get more choices about which responsibilities to hand over. We need to get equally deliberate about what we want back.

A business can succeed and still be exhausting to run

Consider a designer with enough clients, good work coming in, and a service people are happy to pay for. The commercial side works. The week can still feel fragmented by proposals, project updates, missing files, invoices, and all the small decisions needed to keep an engagement moving.

Each task may be manageable. Together, they create a business that needs the owner’s attention almost everywhere. Finishing the design does not finish the job. There is still something to send, check, record, or chase.

That is a useful place to evaluate AI. What recurring obligation would you be glad to have handled more reliably? Which part of the week keeps taking attention away from the work you care about?

The current tools are increasingly being built around those questions. Anthropic’s September expansion of Claude for Small Business connects workflows to software owners already use for sales, finance, and everyday operations. It also supports scheduled work, with approval required by default before actions such as sending, posting, or paying.

The interesting part is the ordinary work these systems are designed to handle. A business owner does not need a dramatic transformation story to benefit from having a recurring responsibility under better control.

Finish the responsibility behind the task

Imagine an owner who wants help following up on overdue invoices. Asking an agent to write payment reminders is easy. But writing the messages is only one part of the responsibility.

Someone needs to establish which invoices are actually overdue, check whether a payment has arrived, account for any arrangement already made with the customer, and decide which reminders are appropriate. After a message goes out, someone still needs to know what happened next.

A useful workflow would prepare a checked list, draft the appropriate follow-ups for approval, and keep the unresolved items visible. If the records disagree or a customer has disputed a charge, it would bring that exception to the owner with enough context to make a decision.

The owner still has a job. They can review a prepared decision and deal with the exceptions instead of reconstructing the situation from scattered records every time.

Anthropic’s August release of computer use, the Skills API, and the Files API describes the components behind this kind of workflow: operating software, following a saved procedure, reading documents, and returning completed files. Connecting those capabilities gives builders more ways to carry an assignment through the applications where work happens.

Whether that helps depends on what you ask the system to complete. A folder full of polished reminders can leave the responsibility entirely with you. A clear account of what needs your approval and what remains outstanding can make it easier to manage.

This is where prompting becomes a management skill. Define the result in terms of the responsibility you want handled. Give the agent a standard for completion that means something to the business.

Count the work AI gives back to you

Be honest about what it takes to use the result.

An agent might prepare a report quickly, but if you have to reopen every source, repair the calculations, and work out what the report is trying to tell you, that effort belongs in your assessment. So does fixing a broken connection or explaining the same exception again next week.

Review is necessary for many assignments. The question is whether the review is manageable and whether the entire process improves on what you were doing before. A workflow can leave the final decision with you while removing much of the preparation around it.

Look at a few actual runs. How often did you have to intervene? Could you understand the exceptions? Did the result arrive when it was useful? Was there still something important you had to remember outside the system?

Those answers tell you more about the value of the workflow than watching it produce an impressive first result. They also tell you what to simplify. Perhaps the assignment is too broad. Perhaps the agent needs a better source. Perhaps one recurring exception is easy to resolve once you make the underlying business decision.

A system you can understand and maintain is worth more than an elaborate one you are reluctant to touch. Its upkeep becomes part of your working week too.

Decide what the recovered capacity is for

I have argued that better AI will make million-dollar one-person businesses more achievable. Expanding what an owner can deliver creates room for growth. That remains an exciting possibility.

What you do with that room is still your decision.

You might take on another customer. You might spend more time improving the service for the customers you already have. You might finally develop the product you keep postponing, or leave enough space in the week to think about where the business is going.

You can also finish work earlier. There is no obligation to fill every recovered hour with another commitment. A business that supports your life and remains manageable is a worthwhile thing to build.

Make that intention part of the assignment. If the goal is to keep Friday afternoon clear of routine admin, evaluate whether the system helps you do that. If the goal is to give customer work your full attention, look at the interruptions and unresolved obligations it removes.

AI gives us more ways to shape the work around a business. Use that capability to build one you want to keep running.
